This Privacy Policy explains how Clearbox, Inc. ("Clearbox," "we," "us," or "our") collects, uses, and shares information when you use the Clearbox website, application, and related services (the "Service").
By using the Service, you agree to the practices described in this Policy. If you do not agree, do not use the Service.
1. About Clearbox
Clearbox helps you monitor publicly available online conversations relevant to topics, products, or services you care about. The Service surfaces matching conversations in an inbox along with short AI-generated summaries.

2. Information We Collect
2.1 Information you provide
- Account information. Your email address and any other details you submit when signing up or signing in. We use passwordless email sign-in, so we do not collect or store a password. If you sign in using Google or Microsoft, we receive your name, email address, profile image (if available), and the account identifiers needed to maintain your sign-in.
- Workspace configuration. Information you submit to set up and operate your workspace, including the name and website of your business, a free-text description of your offering, the brand names of your own business, your competitors, and adjacent companies you ask us to monitor, third-party identifiers you choose to filter on, and the topics or communities you wish to track.
- Billing information. When you subscribe to a paid plan, we receive a customer identifier and subscription metadata from our payment processor. We do not collect or store payment-card details, which are handled directly by the payment processor.
- Support and communications. The contents of messages you send us, and any information you choose to include.
2.2 Information collected automatically
- Session data. IP address, user agent (browser and device type), and session timestamps, used for sign-in, session security, and abuse prevention.
- Service usage and product analytics. Records of feature use, page visits, and in-product actions (such as which items in your inbox you view or mark as done), used to operate and improve the Service.
- Cookies. Strictly essential cookies for authentication and session management, and product analytics cookies. We do not use advertising cookies or share data with advertising networks. See Section 6.
2.3 Information from public sources
- Surfaced content. Publicly available posts, comments, and associated metadata (such as author display name, timestamps, and links to the original) from the topics and communities you have configured the Service to monitor. We do not access private content, direct messages, or content not publicly accessible.
3. How We Use Information
We use the information described above to:
- provide, operate, secure, and maintain the Service;
- authenticate you and manage your account and workspace;
- process publicly available content against your configuration to surface potentially relevant items;
- generate short AI-assisted summaries and classifications to help you evaluate items;
- process billing and manage your subscription;
- communicate with you about your account, the Service, and transactional matters;
- respond to support requests and feedback;
- monitor, debug, and improve the Service, including the quality of our classifications, summaries, and product features;
- prevent, detect, and address fraud, abuse, security, or technical issues; and
- comply with legal obligations and enforce our Terms of Service.
We do not sell your personal information. We do not share your content with third parties to train their models. We do not engage in cross-site advertising and do not share information with third parties for their own marketing purposes.
4. Legal Bases (EEA, UK, Switzerland)
If you are in the European Economic Area, United Kingdom, or Switzerland, our legal bases for processing personal information are:
- Contract. Processing necessary to provide the Service you have requested.
- Legitimate interests. Processing necessary for our legitimate interests in operating, securing, debugging, and improving the Service, where those interests are not overridden by your rights.
- Consent. Where we rely on consent, you may withdraw it at any time.
- Legal obligation. Where processing is required to comply with applicable law.
5. How We Share Information
We share information only with the categories of recipients described below. We do not sell personal information.
- Service providers (sub-processors). We use vetted third parties to host and operate the Service. They include:
- Convex — application database and backend hosting;
- Vercel — frontend hosting;
- Stripe — payment processing and subscription management;
- Resend — transactional email delivery;
- PostHog — product analytics;
- Google and Microsoft — federated sign-in, only if you choose to sign in with one of those accounts;
- AI model providers — for generating classifications and summaries. Your offer description, the brand names you have provided (your own, your competitors', and adjacent companies'), and the publicly available content the Service evaluates on your behalf are sent to these providers solely to produce output for your account. These providers are contractually prohibited from using your data to train their models.
- Legal, safety, and rights. We may disclose information if we reasonably believe disclosure is necessary to comply with law or lawful requests, to protect the rights, property, or safety of Clearbox, our users, or others, or to investigate or prevent fraud, abuse, or security incidents.
- Business transfers. If we are involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction, subject to commitments at least as protective as this Policy.
- Aggregated or de-identified data. We may share information that has been aggregated or de-identified in a way that cannot reasonably be used to identify you.
6. Cookies
We use strictly essential cookies for authentication and session management, and product analytics cookies provided by PostHog to understand how the Service is used. Most browsers allow you to block or delete cookies through their settings; blocking essential cookies will prevent the Service from working.
We do not use advertising cookies or share cookie data with advertising networks.
7. Data Retention
We retain personal information for as long as necessary to provide the Service, comply with our legal obligations, resolve disputes, and enforce our agreements. When we no longer need personal information, we delete or anonymize it. You can request deletion of your account and associated data at any time (see Section 10).
8. Security
We use reasonable administrative, technical, and organizational measures designed to protect personal information. No method of transmission or storage is fully secure, and we cannot guarantee absolute security.

9. International Data Transfers
We and our service providers may process information in countries other than your own, including the United States. Where required, we rely on appropriate safeguards (such as the European Commission's Standard Contractual Clauses) for transfers of personal information.
10. Your Privacy Rights
Depending on where you live, you may have rights regarding your personal information, including the right to:
- Access the personal information we hold about you;
- Correct inaccurate or incomplete information;
- Delete your personal information, subject to certain exceptions;
- Object to or restrict certain processing;
- Portability of information you have provided to us;
- Withdraw consent where we rely on consent; and
- Lodge a complaint with your local data-protection authority.
U.S. state privacy rights. Residents of California, Virginia, Colorado, Connecticut, Utah, and other U.S. states with comprehensive privacy laws may have rights to access, delete, correct, and opt out of certain processing of their personal information. We do not sell personal information and do not engage in "targeted advertising" as those terms are defined under those laws.
To exercise any of these rights, email us at support@clearbox.to from the address associated with your account. We may need to verify your identity before acting on your request and will respond within the timeframes required by applicable law.
You also have the right not to be discriminated against for exercising any of your privacy rights.
11. Children
The Service is not directed to children under 18, and we do not knowingly collect personal information from anyone under 18. If you believe a child has provided us personal information, contact us at support@clearbox.to and we will take steps to delete it.
12. Changes to This Policy
We may update this Policy from time to time. If we make material changes, we will provide reasonable notice (for example, by in-product notice or email) before the changes take effect. The "Last Updated" date at the top of this Policy indicates when it was last revised. Your continued use of the Service after the effective date constitutes your acceptance of the updated Policy.
